WhatsApp Business app vs WhatsApp Business API: which do you need?

· 6 min read

The WhatsApp Business app

The app is a free download for Android and iPhone. It gives your business a profile (address, hours, website), a product catalog, labels to organise chats, and simple tools: greeting messages, away messages and quick replies.

It works well when one person, or a few people on linked devices, answers every chat by hand.

  • Free to use
  • Set up in minutes on your phone
  • Manual replies; fixed automatic messages only
  • No official way to connect a chatbot or other software

The WhatsApp Business Platform (API)

The platform is Meta's official way for software to send and receive WhatsApp messages. There's no app to install: your number is connected to a system, such as a chatbot or an inbox tool, through Meta's Cloud API.

This is what makes real automation possible: an AI that answers questions, a team inbox, appointment and order flows, and approved message templates you can send to customers who opted in.

  • Automation and AI replies
  • Many team members on one number
  • Connects to your other tools
  • Needs a Meta business portfolio and a provider or your own development

What does the API cost?

Meta charges for some messages, and prices depend on the customer's country and the message type. In general, replying to a customer within 24 hours of their last message costs nothing from Meta, while messages you start, such as offers or reminders sent as templates, are charged.

On top of Meta's charges, providers charge for their software. Check Meta's current pricing page for exact numbers, because they change.

Can I use the same number on both?

Traditionally a number could be on the app or on the platform, not both. Meta has started allowing some numbers to use the app and the platform together. Whether that's available depends on your number and region, so check when you connect.

When should a small business switch?

Stay on the app while one person can comfortably answer everything. Consider the platform when:

  • Messages arrive faster than you can answer them, or outside your working hours
  • More than one or two people need to reply from the same number
  • You want customers to book or order without waiting for you
  • You want to send reminders or offers to many customers properly

How ChatFlow fits in

ChatFlow is a provider on the WhatsApp Business Platform built for small businesses. It connects your number, adds an AI assistant that answers in Arabic and English, and gives your team a shared inbox with appointments, orders and broadcasts. There's a free plan to try it.

Common questions

Is the WhatsApp Business API free?

Access to the platform itself isn't a product you buy from Meta, but Meta charges for some messages (mainly ones you start, like offers and reminders), and providers charge for their software.

Do I need a developer to use the API?

Not if you use a no-code provider. Building your own integration does need development work.

Will I lose my chat history if I move my number?

Moving a number from the app to the platform generally doesn't bring your old chats into the new system. Back up anything important first, and check Meta's current migration options for your number.
