How a WhatsApp chatbot can book appointments for you
· 5 min read
Why book on WhatsApp?
Many customers already message you to ask for an appointment. Booking in the same chat, without a link to a separate website or app, removes a step, so more of those messages turn into bookings.
What a good booking flow looks like
A customer asks for an appointment in their own words, for example "tomorrow afternoon for a cleaning". The chatbot should:
- Understand the service and the day they want
- Offer only times that are really free, inside your opening hours
- Respect how many customers you can take at the same time (chairs, rooms or staff)
- Confirm the details back to the customer
- Send you the request so you can confirm or change it
What to set up first
Before switching booking on, decide a few rules. They're what makes the offered times accurate.
- Opening hours for each day, including days off
- The length of each service, or a standard slot length
- How many bookings you can take at the same time
- How far ahead customers can book, and the minimum notice
Reminders: the easiest way to cut no-shows
Forgotten appointments cost you the slot and the income. A WhatsApp reminder the day before, with a button to confirm or cancel, lets customers tell you early, and a cancelled time can go to someone else.
Reminders sent the day before are usually outside the 24-hour reply window, so on the WhatsApp Business Platform they're sent as an approved template, which Meta may charge for.
Keep a person in charge
Automatic booking works best as a request that you confirm, at least at first. It protects you from double bookings in systems the chatbot can't see, like appointments made by phone.
How ChatFlow handles booking
In ChatFlow you set your opening hours, slot length, how many bookings fit at the same time, how far ahead people can book and the minimum notice. The assistant offers only free times, saves the request, and you confirm it with one tap. Customers get a WhatsApp reminder the day before with Confirm and Cancel buttons.
Common questions
Can customers book at night or on weekends?
Yes. The chatbot takes booking requests at any time and only offers times inside your opening hours.
What if two customers ask for the same time?
A good booking chatbot counts existing bookings, so a time disappears once it's full, based on how many customers you can take at the same time.
Does it work with my calendar?
It depends on the tool. ChatFlow keeps its own appointment list in your dashboard; check each tool for calendar sync.
